SUMMARY:
This position works in tandem with a second administrator to support six teams comprising over 50 people. These teams work on various AICPA strategic initiatives including: providing leading edge and relevant news and knowledge resources to the accounting profession; driving positive change in the profession’s effort to attract and retain a diverse work force of talented individuals to become CPAs; and, promoting AICPA’s initiatives in higher education, including Ph.D. programs, and university faculty relationships.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Manage PMPI team’s administrative responsibilities
- Manage and plan team travel needs
- Purchase and maintain office supplies
- Act as a resource for office technology and train as needed; troubleshoot issues with office technology
- Act as a resource for company policies and communication
- Coordinate with other departments (facilities, mail room, IT, finance, etc.) for team projects and/or needs
- Maintain team’s work area
- Develop and streamline administrative processes for efficiency
- Develop and implement processes to assist team to perform at peak level
- Procure items as needed
- Manage awards such as AAA, FSA and Lawler awards
- Work collaboratively on other administrative duties
- Assist in planning and executing events and meetings including compilation, coordination and distribution of briefing materials
- Assist in managing digital and print subscriptions and memberships
- Assist on overseeing and developing team’s internal hub page site in distributing information to the team and manage subscriptions
- Assist in providing administrative assistance to VP and managers

- Strong interpersonal, verbal and written communication skills
- Attention to detail in all aspects of work and strong work ethic
- Demonstrated ability to work smoothly and effectively with senior management and maintain alignment with AICPA strategic priorities
- Ability to work well with conflicting demands of a large team
- Ability to multitask, organize work, maintain schedules and provide information
- Knowledge of wide range of office software and hardware
- Experience with large teams and conflicting demands
- Experience with MS Office suite of software
- A broad knowledge of the organization's customs and culture
- Ability to work in a fast-paced environment with minimal supervision
- Must exhibit a high professional demeanor in dealing with various individuals at all levels of the organization and community
- High degree of customer service including the ability to problem-solve effectively
EXPERIENCE REQUIRED
- 1-3 years’ experience as an administrative assistant
EDUCATION REQUIRED
- College degree
EXPERIENCE/EDUCATION PREFERRED
- Project management experience
- Presentation experience
- Procurement experience
